1. Introduction
Welcome to Vaultify Docs — a secure, offline-first mobile application for storing and managing your personal documents. Vaultify Docs is designed with privacy at its core: your documents are stored locally on your device and are never transmitted to our servers.
This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using Vaultify Docs, you agree to the practices described in this policy.

3. Information We Collect
3.1 Information Stored Locally on Your Device
Vaultify Docs stores all the following data exclusively on your device. This data is never sent to our servers:

Document images — photos you capture or import from your gallery

Processed images — enhanced versions of documents used for OCR

Thumbnail images — small previews generated for the document list

OCR-extracted text — text parsed from your document images

Document metadata — title, category, tags, notes, creation date, and modification date

Sync status flags — pending, synced, failed status per document (stored locally)
3.2 Information You Voluntarily Provide
When you use the app, you may provide:

Document titles and notes you manually type

Tags and categories you assign to documents

Cloud account credentials — only for optional sync (see Section 4)
3.3 Information We Do NOT Collect
Vaultify Docs does not collect, store, or transmit:

Your name, email address, or any personal identifiers

Device identifiers, advertising IDs, or crash analytics

Location data

Usage analytics or behavioural tracking

Any data to Anthropic, Google, or third-party servers (beyond your own cloud account if sync is enabled)
4. Optional Cloud Sync
4.1 How Cloud Sync Works
Cloud sync is entirely optional. If you choose to enable it, Vaultify Docs syncs your documents to your personal cloud storage account — not to our servers:

Android — your own Google Drive account (using the drive.file scope, which limits access strictly to files created by Vaultify Docs)

iOS — your own iCloud Drive account (automatically linked to your Apple ID)
Your documents are stored in a private Vaultify Docs folder inside your own cloud account. We have no access to your cloud storage.
4.2 Authentication
On Android, Vaultify Docs uses Google Sign-In (OAuth 2.0) to request access to your Google Drive. OAuth tokens are stored securely using the Android Keystore via flutter_secure_storage and are never stored in plain text.
On iOS, sync uses your existing iCloud account. No additional login is required.
4.3 Data Stored in Cloud
If sync is enabled, the following files are stored in your personal cloud account:

Processed document image (image.jpg)

A metadata file (metadata.json) containing: title, category, tags, timestamps, and device identifier for conflict resolution
Raw OCR text is included in the metadata file for full-text search. No passwords, biometric data, or OAuth tokens are ever uploaded to cloud storage.
5. How We Use Your Information
All data operations happen locally on your device. Specifically, Vaultify Docs uses your data to:

Display and organize your documents within the app

Run on-device OCR (Google ML Kit) to extract text — processing happens entirely on your device

Enable full-text search across your saved documents
-
Sync documents to your own cloud storage if you opt in

Send local notifications about sync status (e.g., sync completed, sync failed)
We do not use your data for advertising, profiling, or any purpose beyond delivering the core functionality of the app.
6. Biometric Authentication
Vaultify Docs uses your device's built-in biometric system (Face ID, Touch ID, or Fingerprint) to secure access to the app. This is handled entirely by your device's operating system using the local_auth package.

We do not integrate with any advertising networks, analytics SDKs, or social media platforms.
10. Your Rights & Controls
Because all data is stored locally on your device, you have complete control:

Access & View — all your documents are accessible within the app at any time

Edit — you can modify titles, tags, notes, and category for any document
-
Delete — permanently delete any document from within the app
-
Disable Cloud Sync — you can turn off cloud sync at any time in Settings; existing cloud copies can be deleted from your Google Drive or iCloud directly

Uninstall — uninstalling Vaultify Docs removes all locally stored data; your cloud copies (if any) remain in your own cloud account

Export — future versions will support PDF export of your documents
11. In-App Purchases & Subscriptions
Vaultify Docs offers a free tier with a limit of 6 documents and an optional Vaultify Pro subscription that unlocks unlimited documents and all premium features. This section explains how purchases are handled.

11.3 Payment & Billing
All payments are processed securely by the respective platform store — Google Play (Android) or the Apple App Store (iOS). Vaultify Docs does not directly handle, process, or store any payment card information. By subscribing, you agree to the payment terms of your platform store.

Subscriptions auto-renew at the end of each billing period unless cancelled at least 24 hours before the renewal date

Your Google Play or Apple ID account will be charged upon purchase confirmation and at the start of each renewal period

Prices may vary by region based on local currency and applicable taxes as determined by the platform store
11.4 Cancellation & Refunds
You may cancel your subscription at any time through your platform store account settings. Cancellation takes effect at the end of the current billing period — you will retain Pro access until then. Refund requests are governed by Google Play’s or Apple’s refund policies respectively; Vaultify Docs does not issue refunds directly.

11.5 Restore Purchases
If you reinstall the app or switch to a new device, you can restore your active Pro subscription using the "Restore Purchases" option in the app’s paywall or Settings screen. Restoration verifies your subscription status directly with the platform store at no additional charge.
11.6 Purchase Data We Store Locally
To gate features instantly on app launch, the following values are stored in SharedPreferences on your device:

active_plan_id — the product ID of the active plan (monthly or yearly)

purchase_date and expiry_date — subscription period for local reference
This data is stored only on your device and is never transmitted to our servers. On each app launch, the app calls restorePurchases() to verify the subscription is still active with the store.
12. Children's Privacy
Vaultify Docs is not directed at children under the age of 13 (or the applicable age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has used the app, please contact us and we will assist with data deletion where possible.
13. Data Retention
All data is retained on your device for as long as you use the app. You may delete individual documents at any time. Uninstalling the app deletes all local data. Cloud backups (if enabled) remain in your own cloud account and are managed by you.
Vaultify Docs uses soft-delete internally (isDeleted flag) to safely sync deletions across devices. Soft-deleted records are removed from your cloud on the next sync cycle.
14. Storage Responsibility & Limitation of Liability
Vaultify Docs is designed as an offline-first application. All documents you save are stored in two locations that are fully owned and controlled by you — your device’s local storage and, if you choose to enable cloud sync, your personal cloud storage account (Google Drive on Android or iCloud on iOS). We do not operate, control, or have access to either of these storage environments.
14.1 Local Device Storage
Documents are stored in an encrypted, app-private directory on your device that is inaccessible to other apps and not visible in your device gallery. The security of data on your local device depends on your device’s own security settings, including your screen lock, device encryption, and physical security. Vaultify Docs is not responsible for any loss, corruption, or unauthorized access to documents resulting from:

Loss, theft, damage, or unauthorized access to your physical device

Device hardware failure, factory reset, or OS-level data wipe
-
Accidental uninstallation of the app, which permanently removes all locally stored data
-
Malware, rooting, jailbreaking, or other security compromises at the OS level
14.2 Cloud Storage (Google Drive / iCloud)
When you enable cloud sync, your documents are uploaded to your personal Google Drive (Android) or iCloud (iOS) account. These are third-party cloud platforms operated by Google LLC and Apple Inc. respectively. Vaultify Docs acts solely as a bridge to transfer your documents to your own cloud account and has no control over how these platforms store, secure, or manage your data. Accordingly, Vaultify Docs is not responsible for any data loss, breach, corruption, or unauthorized access arising from:

Security incidents, outages, or data loss on the Google Drive or iCloud platforms

Unauthorized access to your Google or Apple account due to compromised credentials or account sharing

Changes to Google Drive or iCloud terms, policies, or service availability that affect your stored data
-
Accidental deletion of the VaultSync folder or files directly from your cloud account outside the app
14.3 Your Responsibility
By using Vaultify Docs, you acknowledge and agree that:

You are solely responsible for maintaining the security of your device, Google account, and Apple ID
-
We strongly recommend enabling cloud sync to maintain a backup of your documents in case of device loss or failure

Vaultify Docs shall not be liable for any direct, indirect, incidental, or consequential loss of data stored on your local device or your personal cloud account, to the maximum extent permitted by applicable law
15. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this document. For significant changes, we will notify you via an in-app notice on the next app launch.
Continued use of Vaultify Docs after changes take effect constitutes your acceptance of the updated policy.
